Air Charter & Cargo Disclosures

Status: Draft for review — not effective.

Passenger & Private Jet Arrangements

Volaire Travel & Logistics LLC is an air charter broker. Volaire is not a direct air carrier or direct foreign air carrier and does not exercise operational control over aircraft. Air transportation is provided by properly licensed direct air carriers or direct foreign air carriers.

Volaire Travel & Logistics LLC is the Charterer in its contracts with operating carriers. Customers are not parties to those operator-facing contracts. Volaire’s separate customer agreement defines the arrangements Volaire undertakes for the Customer; the operating carrier retains operational control. Contract labels do not override duties or rights imposed by applicable law.

Passenger and private jet bookings

These disclosures apply to our group passenger and private jet charter arrangements. Before you enter a binding customer booking agreement, we identify the operating carrier by its legal name and relevant trading names, disclose Volaire's capacity in the transaction, and state whether Volaire holds liability insurance covering the Customer, passengers and property on the flight and the monetary limits of any such coverage. Where information is not yet known, we follow the disclosure and update requirements of applicable law. Required information will be supplied before transportation begins.

The quote and booking documents identify the itinerary, proposed aircraft or category, price, currency, payment obligations, and applicable conditions. You may request information about relevant carrier relationships, the total amount payable to or through Volaire, and known or estimated charges payable directly to third parties. Required updates and any resulting cancellation and refund rights will be communicated in accordance with applicable law.

Operational decisions and availability

The Operator and pilot in command control aircraft operation, crew, airworthiness, safe loading, route and operational decisions. Weather, air traffic restrictions, aircraft performance, permits and airport conditions can affect timing and routing. We communicate material changes and applicable options. A substitution or operational restriction does not automatically remove a Customer's contractual or statutory remedies.

Aircraft images, cabin specifications and model listings illustrate potential options unless expressly confirmed for a booking. They do not represent a Volaire-owned or Volaire-operated fleet. Range, payload, seating and baggage capacity depend on the actual aircraft and mission. Tell us about any essential feature before accepting an offer so it can be recorded in writing.

Conditions and insurance

Read our Conditions of Carriage Notice and the specific carrier conditions supplied with your booking. Carrier insurance, Volaire's own liability insurance and a passenger's travel insurance are separate protections. No personal travel or cancellation insurance is included unless expressly confirmed in writing. Mandatory rights prevail over inconsistent wording.

Cargo & AOG Arrangements

Volaire Travel & Logistics LLC arranges cargo air transportation and related logistics services. Volaire does not operate aircraft or exercise operational control. Air transportation is performed by properly licensed operating carriers.

The customer service agreement states the logistics services Volaire undertakes. Transportation, screening, customs clearance, handling and storage are performed by the identified providers responsible for those services. Using an independent provider does not remove a responsibility imposed on Volaire by law or its agreement.

Acceptance and shipment information

A request or quotation does not constitute cargo acceptance or a confirmed uplift. Acceptance remains subject to aircraft compatibility, payload and capacity, carrier approval, security requirements, permits, customs release and complete documentation.

Before acceptance, provide accurate commodity descriptions, dimensions, weights, value, packaging, handling instructions, routing, and shipper and consignee information. Disclose dangerous or restricted goods, batteries, chemicals, engines or equipment containing fluids, temperature limits, and other special requirements. Applicable classification, packaging, marking, labeling and documentation must be completed by qualified persons. Undeclared or unsuitable cargo may be refused or delayed, subject to applicable law and the accepted agreement.

AOG and urgent services

AOG and urgent designations describe priority coordination. They do not guarantee aircraft availability, uplift or delivery by a specific time unless a written agreement expressly makes that commitment. Permit processing, screening, weather, loading compatibility and government action may affect performance. Disruption and refund terms are explained in the accepted agreement and our Cancellation, Refund & Disruption Policy.

Liability and insurance

Cargo liability may be subject to mandatory law, international conventions and valid contractual limits. Before acceptance, the shipment documents identify the applicable liability provisions, claims procedure, deadlines and any declared-value option. Declaring a commercial invoice value is not the same as purchasing insurance or having an increased liability declaration accepted.

Where Volaire acts as an indirect cargo air carrier, Volaire provides the shipper with a written statement at shipment acceptance stating whether it holds cargo liability accident insurance and the limits, if any, on Volaire's liability. The required statement appears conspicuously on, or is attached to, applicable rate sheets and air waybills. This general website notice does not replace that completed shipment disclosure.

Operating carrier coverage, Volaire liability coverage and separate shipment insurance are different protections. Shipment-specific cargo insurance is not included unless its placement and terms are expressly confirmed in writing. Insurance availability and any increased liability option must be settled before carriage.

Claims and service boundaries

Inspect cargo promptly, record loss or damage, preserve packaging and delivery records, and follow the notice and claim deadlines in the applicable documents. Notify Volaire promptly so we can assist. Notice to Volaire does not automatically satisfy a separate notice requirement to an Operator, insurer or other provider.

Customs brokerage, screening, warehousing, physical handling and insurance placement are included only if expressly stated in the accepted service agreement and performed through appropriately authorized providers. No website statement represents that Volaire holds a particular TSA approval, customs license or insurance license.
